Terms and Conditions - Workshops & Programs

Please read these Terms and Conditions (“Terms”, “Terms and Conditions”) carefully before registering for workshops and/or programs (“Services”, “Service”) hosted by LumenEssens. Your use of the Services provided by LumenEssens is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who access or use the Service.

LumenEssens reserves the right to update these Terms and Conditions from time to time. Updated Terms will apply from the date of publication on our website. Any variations for specific events will be specified in the web material relating to the specific event.

Bookings and Payment

  • Acceptance of bookings is subject to availability, suitability for the Service and any other conditions that LumenEssens may stipulate for any specific event.
  • Payment for all Services are required in advance, unless an alternative arrangement has been made with and approved by LumenEssens.
  • Bookings may only be deemed as confirmed once payment has cleared in our bank account.
  • Bookings for which payment is not received by the due date may be subject to cancellation by  LumenEssens.

Value Added Tax (VAT)

  • LumenEssens is registered for Value Added Tax (VAT) with the South African Revenue Services. VAT will be added at the standard rate in force at the time of invoicing, on all local invoices, i.e. Services rendered to SA-based customers and institutions.

Discounts

  • LumenEssens may apply a discount policy to Services from time to time. These will be described on our website for each event.
  • Early Bird Discounts, where applicable, allows a customer to pay a reduced fee for a Service and is subject to payment for the Service reflecting in our account at least one month prior to the Service date.
  • Volume Discounts may be applied to certain Services, where group / bulk bookings are made. The minimum group size required to invoke a Volume Discount may vary per Service.
  • LumenEssens may apply regional pricing to Services as detailed on our website. The currency and pricing of the Service is based on the country in which the registered attendee resides.
  • Local pricing (ZAR currency) is applied to all attendees residing in South Africa (our local customer base), Africa or a Developing Country. Qualifying countries are defined as “low income” and “lower-middle income” on the World Bank’s World Development Indicator (WDI) Index.

Substitutions

  • We understand that schedules change. You may transfer your registration to a colleague or friend, free of charge.
  • As some of our Services may involve pre-work, we only allow substitutions up to 3 working days before the start date of the event.
  • No substitutions will be processed within 3 working days prior to the start date of an event.
  • Substitutions are subject to approval due to the knowledge pre-requisites of some of our  Services.

Cancellations & Transfers

  • Cancellations for a full refund less any transaction fees, or requests to transfer your attendance to a different event/Service, will only be accepted up until 7 calendar days before the start date.
  • For transfers to another event/Service, your paid tuition will be available for one year to be used as a credit towards another workshop.
  • If a cancellation request is made less than 7 calendar days before the event start date, no refunds will be issued.
  • Transfers to another event/Service are not allowed less than 7 calendar days before the event start date.
  • No refunds will be issued for non-attendance, unless in the case of illness or unforeseen circumstances, where there will be a charge for direct costs incurred. These costs include, but are not limited to, venue, course material, courier and transaction fees.
  • Our Services are designed in a highly interactive manner where you often learn as much from the other attendees as you do from the course leaders. For this reason we require a minimum number of people in our events. If enrollment falls below this number, LumenEssens reserves the right to cancel or postpone an event to a later date.
  • Should LumenEssens cancel an event, a full refund or a full credit will be given to registered attendees to attend a future event.
  • Should LumenEssens change the dates of a n event, registered attendees will be provided with the opportunity to attend the new dates, or apply your registration fee to another Service (held within a year), or request a refund.
  • LumenEssens is not liable for any travel costs and therefore recommend that attendees contact us to confirm the status of an in-person event prior to making any travel or accommodation arrangements.
  • Transaction fees on any of our booking or payment platforms are non-refundable.

Prerequisites

  • Most of our Services have prerequisites. These will be listed on the website. Please familiarise yourself with them to ensure you are suitably qualified to attend an event. If you are unsure whether you meet the requirements, please contact us on info@lumenessens.com.
  • Refunds will not be made if you cannot complete a workshop/program, or if the course leader feels you cannot stay on due to not achieving the required prerequisites.

Pre-work and Preparation

  • Where pre-work needs to be completed prior to the start of an event, an orientation pack will be e-mailed to all registered attendees approximately 1-2 weeks prior to the first session.

Online / Virtual events

  • If you registered to attend a virtual event, please ensure you have access to the following:-
    • A computer with an up-to-date web browser, camera and sound (headset with microphone recommended)
    • A stable internet connection (at least 10 mbps download / upload)
  • We schedule a mandatory ‘Orientation Call’ in the week prior to a virtual event to guide you in successfully accessing and navigating the various platforms we may use during the event. Access to an event may be prohibited if you fail to attend this session.

Privacy and Consent

  • LumenEssens respects the privacy of your personal information and are governed by the Personal Protection of Information Act (POPIA) that has been legislated in South Africa.
  • Personal information of all customers are kept strictly private and will only be shared with the course leaders and specific certification bodies as it relates to the event you registered to attend.
